PhillyCAM "We Are Open" Updated Operation Policy & Procedures

As of Thursday, June 1, 2023, PhillyCAM will no longer require people to wear masks while in the facility barring a few exceptions. We want to continue to center community care and responsible leadership, so we recognize that COVID-19 is still a very real threat that has been affecting our friends and family.

To ensure all members who come through our doors, along with the community that they are a part of, stay safe and healthy, so we encourage everyone, including ALL visitors, to continue to wear an N-95 or KN-95 mask indoors to protect yourselves and our community. Together, as we’ve always been, we will keep each other safe!

 

What Do You Need to Know?

 

Masking

Members and visitors are encouraged to wear masks, but are not required. We can provide members/visitors with masks if they do not have one. 

Masks may still be required for certain workshops and productions based on the discretion of the producers and instructors, please continue to respect their guidelines.

PhillyCAM’s Operating Hours

PhillyCAM staff is available to support members via phone, email, or appointment:

  • Monday - Friday: 10:00 am - 6:00 pm
  • Saturday: 10:00 am - 6:30 pm

 

PhillyCAM’s Facility is Open! 

Our facility is open three days per week for equipment pick up, media lab and studio reservations, meetings and inquiries. Here are the current opening days and hours:

  • Tuesdays: 2:00 pm - 8:00 pm 
  • Thursdays: 2:00 pm - 8:00 pm 
  • Saturdays: 10:00  am - 6:30 pm

 

WPPM’s Studio is Open! 

WPPM's radio studio is available seven days per week, but please note PhillyCAM open hours with staff support are: 

  • Tuesdays: 2:00 pm - 8:00 pm
  • Thursdays: 2:00 pm - 8:00 pm
  • Saturdays: 10:00 am - 6:30 pm

 

Appointment Only or Key Fob access are available only for the following days:

  • Monday

  • Friday
  • Sunday

Making An Appointment to Meet with Staff

Making An Appointment with WPPM Staff

Radio programmers/members can set appointments with Allison on Mondays, Wednesdays, and Fridays. 

Radio programmers with slots outside open hours will access our studio with a key fob. Only members with key fob access can use the radio studio. As key fobs are limited, regular series programmers with weekly shows are prioritized.

Making Facility and Equipment Reservations

These are the steps to fulfill a reservation request for equipment and space:

  1. Complete a reservation request for an activated project through the Member Hub for equipment, facility, or both. 
  2. Staff will review the form and contact members within 48 hours if there are any questions. You will receive an email confirmation from staff.
  3. Members will inspect equipment at the checkout window before leaving the premises.

 Field Equipment Reservations

All field equipment reservation pick-up and returns will be on the following days and times only:

  • Tuesdays and Thursdays:  2:00 pm - 7:00 pm
  • Saturdays: 10:00 am - 5:00 pm

 

Pickups

After proper sign-in upon entry, members should follow social distancing protocol to request their pre-approved reservation.

Members must inspect all equipment before exiting the building.

 

Returns

After proper sign-in on entry, members will return all equipment at the Equipment Room window. After staff inspects equipment and confirms any other requests, the reservation is checked back in.

Space Reservations

 

Media Lab

  • Maximum occupancy of 7 people at any one time, masks encouraged. We will have cleaning materials on-hand.
  • Reservations will be limited to a maximum of 3-4 hours per member per day.
  • Before leaving the premises, members must return to the Equipment Room window for sign-out and equipment return.

 

Main Studio

  • 1 TV studio shoot per day will be confirmed on Tuesdays / Thursdays; 2 on Saturdays.
  • Members can only reserve 1 Saturday per month.
  • Mask encouragement is still in place.
  • Member Pick-up/Return procedure at the Equipment room applies. 
  • Only the Producer or designated associated support may pick up and return equipment.
  • Shows & Events that require studio audiences (15+) are considered exceptional and will need review by Tech Staff. These reservation requests are not guaranteed.

 

Express Studio

  • Single-person operation using Zoom, Streamyard, or other video conferencing apps. 
  • Standard occupancy is 4 people at one time; masks are encouraged. 
    • Staff may support remote interviews with guests via our video conferencing tools.
  • Producing members must return equipment and leave space as it was found.

 

Radio Studio

WPPM permits any number of guests in the studio. Be mindful, there are 6 seats available in the studio. Due to the size of the space, we encourage members inviting a group of guests to consider wearing masks. 

Members looking to return to the radio studio must first discuss with the Radio Program Manager.

As WPPM permits back-to-back studio use, if you would like to return to the studio but are uncomfortable with these changes, we can explore other scheduling options together. This may involve pre-taping the show as an option.

 

Green Screen Studio

  • Only be available for reservation by special request.

Cancellation Policy

If you need to cancel your reservation please alert PhillyCAM Tech Services by phone or email as soon as possible. PhillyCAM resources are in very high demand, Main Studio reservations in particular, especially on Saturdays. As such we need to ensure we maximize use of the space.

Members get a total of 3 studio reservations per month, and only one of those can be a Saturday reservation.

A No-Show with no communication with staff ahead of time will result in a $20 fine that will need to be paid before any future reservations can be considered.

 

Working Together To Keep Everyone Safe

As a people-powered and community centered organization, PhillyCAM believes we all need to work together to prevent the spread of viruses. 

PhillyCAM is committed to maintaining good housekeeping practices, including routine cleaning and disinfecting of surfaces, equipment, and other elements of the work environment.

Some additional practices we encourage everyone within the facility to uphold:

  • Maintain the physical distance among employees and fellow members.
  • Avoid using other people’s phones, desks, offices, or other work tools and equipment, when possible.
  • Any employee or member with symptoms of any illness should not come to PhillyCAM.

 

If a member or staff person tests positive after having been at PhillyCAM they must notify Gretjen Clausing, Executive Director via email to gretjen@phillycam.org.
