Important Reservation Policy Notice

Late Fees and No-show Cancellation Policies -  Updated April 1, 2022.

If you actively use PhillyCAM equipment and facilities for meetings and productions this pertains to you.

To better serve PhillyCAM members and manage the increased demand for equipment and space reservations, we will begin keeping track of no-shows, cancellations with less than 24 hours notice, and late equipment returns or pick-up without prior Notice*.

If you return equipment late you could be hurting another producer. If you book the Main Studio and then don't show up you have prevented another member from using the space.

Members are expected to respect the spirit, as well as the letter of facility and equipment scheduling rules. PhillyCAM fully understands that problems may arise at times which are unavoidable. But if a pattern of late returns and no show emerges we will enforce these policies.

WHAT TO REMEMBER

Mondays, Wednesdays, Fridays 
No Equipment Return

Tuesdays and Thursdays
Equipment Pick-up / Return: 2 pm - 8 pm

Saturday
Equipment Pick-up / Return: 10 am - 6 pm

* "Notice" means you have to speak directly with a PhillyCAM staff during business hours and inform them that you will be late or need to cancel a reservation.

If you are more than 30 minutes late claiming your reservation without giving notice you will be considered a "No Show." This applies to equipment pick-up, equipment return, and any room reservations.

SUMMARY OF FINES

  1. $20 fine will be assessed if the equipment is returned or picked up over 30 minutes late without prior notice (considered a No Show).
  2. $20 fine will be assessed if an equipment reservation is canceled with less than 24-hour notice.
  3. No subsequent reservation requests will be confirmed until all fines are paid in full.
  4. Members who accumulate three consecutive "No Show" occurrences may have their membership privileges temporarily suspended.

Going forward we will request a copy of a valid state issued Photo ID or driver's license that will be kept on file from any member checking out equipment.
